Configuration: Holidays, Company Leaves & Restrict Leaves

This guide covers the working calendar — the days nobody works, the days that repeat every week, and the periods when leave is not allowed. All three are reached from Configuration in the main sidebar, and all three affect more than the Leave module.

Purpose

This answers: "Which days are not working days, and when can people not take leave?"

Holidays

Configuration → Holidays holds dated holidays — public holidays, company shutdowns, and one-off closures.

FieldNotes
NameWhat the holiday is called.
Start DateThe first day.
End DateThe last day. Leave it at the start date for a single day; set it later for a shutdown spanning several days.
RecurringWhen on, the holiday repeats on the same calendar date every year, so it does not need re-entering.
CompanyThe company it applies to.

The list can be filtered and searched, holidays can be duplicated for quick entry of similar dates, and several can be deleted at once. A whole year can also be loaded from a spreadsheet: download the template, fill it in, and import it. The existing list can be exported the same way.

What a holiday changes

A holiday is not a Leave-module record — several modules read it:

  • Leave day counts. Depending on the leave type's own setting, holidays inside a requested date range can be excluded from the days deducted. See Leave: Leave Types & Balances.
  • Attendance. A day that falls on a holiday is not held to the shift's minimum working hours, so it is not flagged as short. See Attendance: Overview.
  • Compensatory leave. Someone who works on a recognized holiday can convert that day into leave, if the feature is enabled. See Leave: Allocation & Compensatory Leave.
  • The dashboard, which shows upcoming holidays.

Company Leaves

Configuration → Company Leaves holds the recurring weekly off-days — the weekend, in most organizations.

A record is a weekday, optionally narrowed to a week of the month:

What you wantHow to set it
Every Saturday offWeekday = Saturday, week left empty.
Only the second Saturday of each month offWeekday = Saturday, week = Second Week.

Each combination can exist only once, so the same rule cannot be entered twice.

Company leaves are read by the same calculations as holidays: leave day counts, attendance minimum-hour checks, and the rest. A five-day week is described by adding Saturday and Sunday here.

Restrict Leaves

Configuration → Restrict Leaves blocks leave during a chosen period — a busy season, a year-end close, an audit window.

FieldNotes
TitleWhat the restriction is called.
Start Date and End DateThe period leave is blocked in.
DepartmentThe department it applies to.
Job PositionNarrows it to specific positions. Left empty, it covers every position in the department.
Include AllWhen on, every leave type is restricted.
Specific Leave TypesUsed instead, when only certain leave types should be blocked.
Exclude Leave TypesLeave types that stay available despite the restriction.
DescriptionWhy the restriction exists — worth filling in, since employees see the block without the reason.
CompanyThe company it applies to.

A restriction is targeted, not global: it names one department, so several records are needed to restrict several departments.

Employees and managers find these three screens under the Leave menu; administrators who can edit them find them under Configuration instead. It is the same data either way.

How Visibility Is Decided

  1. Permissions. Holidays, company leaves, and leave restrictions each need their own permission to change.
  2. Menu placement follows permission. Somebody without the permission sees the read-only entry in the Leave menu; somebody with it sees the editable entry in Configuration.
  3. Company. All three belong to a company and follow the company switcher.

Good to Know

  • Set the calendar up before the year starts. Leave balances, attendance validation, and payroll all count days against it, so adding a holiday retrospectively does not revisit what was already calculated.
  • Recurring is for fixed-date holidays only. A holiday that moves — one tied to a lunar calendar, or one always taken on a Monday — needs a new record each year.
  • An empty job position list means the whole department. That is the intended shortcut, not an incomplete record.
  • A restriction blocks requests; it does not cancel approved ones. The block is applied when a request is submitted, so leave already approved for the period is unaffected.
  • A full system administrator is exempt from the block and can still record leave inside a restricted period on someone's behalf.
