Training: Evaluations ​

This guide covers the feedback attendees give after a training session — the question templates behind it, the form itself, and the results.


Purpose ​

This answers the question that decides whether a course gets run again: "Was it any good?"

Feedback is collected per session and averaged per program, so a course delivered repeatedly builds a trend rather than a pile of one-off opinions.


Evaluation Templates ​

A template is a reusable set of questions — "Post-Course Feedback", "Half-Day Workshop", "Compliance Briefing". Each has a title and a description, and holds questions of five kinds:

Each question has a sequence deciding where it appears on the form, and can be marked mandatory — a mandatory question left blank stops the whole submission, naming the question that needs an answer.

A multi-choice question needs at least two options filled in.

Templates are managed under Training → Evaluation Templates, and also reachable from Settings → Training → Evaluation Templates.


How an Evaluation Opens ​

An evaluation becomes available when all of these are true:

  1. The session is marked Completed.
  2. The session has an evaluation template — either chosen on the session, or the company's default applied automatically on completion.
  3. The evaluation due date hasn't passed. If none was set, one is calculated on completion from the company's evaluation window (14 days unless changed).
  4. The person is on the roster and marked Attended.
  5. They haven't already submitted.

Everyone who qualifies is notified when the session is completed, and the outstanding evaluation appears under Evaluations Awaiting You on their My Trainings page — the one place every employee can reach. Managers and administrators see the same list as Your Evaluations on the training dashboard.


Submitting ​

The form shows the template's questions in sequence, plus a free-text comments box for anything the questions didn't ask about.

Each person submits once. A second attempt is refused.

An overall rating is calculated automatically from the rating and Likert answers — the mean of them. Boolean, multi-choice, and text answers don't affect it.


The Results ​

For a session, the results page shows:

  • The response rate — submissions as a percentage of the people marked as having attended.
  • Per question: an average and a distribution for rating and Likert questions, counts per answer for boolean and multi-choice, and the answers verbatim for text questions.
  • The individual submissions, each openable in full.

Across the module, the training dashboard shows the average rating by program, aggregating every evaluation of every session of that program, plus a single overall average rating. Both need the evaluation-view permission — a manager without it gets the dashboard without those figures.

How Visibility Is Decided ​

  1. Attendance. Only an attendee marked as having attended can submit, and only for their own session.
  2. Permissions. Reading results — aggregated or individual — needs the evaluation-view permission. That same permission is what puts the average rating by program chart and the overall average on the training dashboard; without it, neither appears. Creating and editing templates and questions needs the template and question permissions.
  3. The reporting line. A reporting manager can browse the Evaluation Templates list and open a template to read its questions, without holding a training permission. Editing a template, and reading anybody's results, still need theirs.
  4. Company. A template belongs to the company selected when it was created; an evaluation belongs to its session's company.

Good to Know ​

  • Evaluations aren't anonymous. Each submission is recorded against the employee who made it, and administrators can open individual responses. Tell attendees this, if it matters to how they'll answer.
  • The window closes. After the due date the form no longer opens — late feedback isn't collected.
  • No template, no evaluation. A session completed with no template of its own and no company default simply doesn't collect any feedback. Set a default under Settings → Training → Training Settings if you want every session to collect some.
  • The response rate is measured against attendance, not the roster. People marked absent or excused aren't counted as non-responders.
