Employees

This guide covers the Employees screen — the company-wide directory of every employee record, and the tools to browse, create, edit, import, export, and bulk-update them. For the screen an employee sees for their own record, see Profile.

Purpose

This answers: "Who works here, and how do I manage that list at scale?"

The Employee List

  • Shows every employee, with search, filter, and grouping.
  • Active employees are shown by default; archived (inactive) employees can be included by widening the filter.
  • Can be viewed as a table or as cards.
  • Opening a specific employee's record shows their full detail — personal information, work information, bank details, and the tabs covered elsewhere in this guide (notes, documents, shift & work type activity).

Creating & Editing an Employee

  • Creating an employee provisions their login to the system automatically — see Profile: How a Login Account Is Created.
  • A duplicate email is blocked across every company, not just the one currently selected — a person can't accidentally end up with two accounts using the same email.
  • Editing work information can create new departments, job positions, or shifts on the fly, right from the same form, instead of requiring a separate trip to Settings or Configuration first.

Bulk Update

Rather than opening records one at a time, an administrator can select a group of employees from the list, choose which fields to update — personal details, work information, or bank details — and apply the same new value to all of them in a single action.

Import & Export

  • Import accepts an Excel file of full name, email, and phone number, creating a new employee (and login) for each row that doesn't already match an existing account by email.
  • Export downloads the current employee list to Excel.
  • Work information has its own separate import/export, for updating department, job position, shift, and similar fields in bulk via spreadsheet.

How Visibility Is Decided

  1. The reporting line. A reporting manager can view and update their team's details.
  2. Permissions. Creating employees, editing any record beyond one's own team, and every bulk/import/export action all require the relevant permission.
  3. Feature-level restrictions. Browsing the employee list and viewing individual detail pages can each be narrowed to specific employees by an administrator — open to everyone (subject to the above) until configured otherwise.
  4. Company. Employees belong to the company their work information is set to.

Customization Options

  • Badge ID prefix is configurable, used when auto-generating the next employee ID.
  • Feature-level access for browsing the list and viewing individual profiles can each be scoped to a subset of employees.

Good to Know

  • This screen and Profile show the same kind of record, just at different scope — Employees is the company-wide view; Profile is permanently scoped to yourself.
  • Bulk update, import, and export all require the same "change" or "add" employee permission — there's no separate, lighter permission just for spreadsheet-based edits.
