Rotating Shift Assign & Rotating Work Type Assign

This guide covers putting a specific employee onto an already-defined rotating pattern — alternating shifts or work types on a regular cycle. The patterns themselves (which shifts or work types alternate, and on what cycle) are set up in Configuration: Work Types & Shifts; this screen is about assigning a person to one.

Purpose

This answers: "Which employees are on a rotating schedule, what are they on right now, and when do they switch next?"

Assigning an Employee

  • Pick an employee and a rotating shift or rotating work type pattern, set a start date, and save.
  • Unlike Shift Requests & Work Type Requests, this isn't a request that needs approval — assigning someone to a rotation takes effect directly, and the employee is simply notified that they've been added.
  • Only one active rotating shift assignment, and one active rotating work type assignment, is allowed per employee at a time — a person can't be on two rotations of the same kind simultaneously.

Tracking the Rotation

Each assignment record shows:

  • The current shift or work type the employee is on.
  • The next shift or work type they'll switch to.
  • The next switch date, calculated automatically from the pattern's rule (after a fixed number of days, a chosen weekday each week, or a chosen day each month).

The system advances the employee to their next shift or work type automatically as each switch date arrives — nothing needs to be manually updated once the assignment is set up.

How Visibility Is Decided

  1. The reporting line. A reporting manager can assign, view, and remove rotations for their team, without needing a separate permission for it.
  2. Permissions. Company-wide visibility requires the relevant permission.
  3. Company. Assignments belong to the company of the employee's work information.

Customization Options

  • The rotation patterns themselves — which shifts or work types alternate, and the cycle (after N days, weekly, or monthly) — are defined once in Configuration and reused across as many employees as needed.

Good to Know

  • These also show up on the employee's own record — the same "Shift" tab mentioned in Shift Requests & Work Type Requests lists an employee's rotating assignments alongside their one-off requests.
  • Assigning someone doesn't ask them to confirm — it's a direct administrative action, not a request-and-approval flow, so it takes effect and notifies them rather than waiting on a response.
