Profile
This guide covers the Profile screen — the record every employee sees for themselves: personal details, work information, bank details, and how their login came to exist. For the company-wide directory of every employee's record, see Employees.
Purpose
This answers: "Who am I, on file, and how do I keep that up to date?"
Personal Information
Name, contact details, address, date of birth, gender, marital status, emergency contacts, qualification, experience, and a profile photo.
Work Information
Department, job position, job role, work type, shift, company, salary basics, and — most importantly — reporting manager. This single field is what powers manager-level access across nearly every other module in the system: attendance requests, leave approvals, payroll visibility, performance data, and more all check who someone's reporting manager is.
Bank Details
Bank name, account number, branch, address, and identifying codes — used by Payroll when processing pay. An employee can fill these in themselves from their own profile.
How a Login Account Is Created
Creating an employee automatically provisions their login to the system — no separate step needed. Their initial password is set to their phone number on file, so it's a good idea to have them change it after their first login. A starting bonus point balance is also created automatically, ready for Performance to use.

Viewing and managing other employees' records happens on the Employees screen instead — Profile is scoped to yourself only, regardless of role.
How Visibility Is Decided
- Being the employee in question. Everyone can always view their own profile, and edit it if the company has that feature turned on.
- Feature-level restrictions. Self-editing can additionally be narrowed by an administrator to a specific set of employees — open to everyone until configured otherwise.
- Company. If a specific company is selected (rather than "all"), an employee can only open their profile if their work information belongs to that company.
Customization Options
- Self-editing can be turned on or off company-wide.
- Feature-level access to self-editing can be scoped to a subset of employees.
Good to Know
- The reporting manager field is worth getting right early. It's the backbone of manager access everywhere else in the system, so keeping it current as people change teams keeps everyone's visibility current too.
