Training: Trainers ​

This guide covers the trainer list — the people and providers who deliver training.


Purpose ​

This answers the scheduler's question: "Who is running this, and how do I reach them?"

Both kinds of trainer live in one list, so scheduling a session has a single place to pick from whether the course is run by a colleague or bought in.


Two Kinds of Trainer ​

Internal — an employee who delivers training. They're linked to their employee record, and that record supplies their name, email, phone, and department. Nothing is retyped, so their contact details on a session can never drift out of date with their profile.

External — a provider or a freelance trainer with no employee record. Their name, email, phone, and organization are entered directly.

Both kinds can carry an expertise note — the subject areas they cover. That belongs to the trainer either way, since it isn't something an employee record knows.

The form shows only the half that applies: pick Internal and it asks for the employee; pick External and it asks for the contact details.


Where Trainers Are Used ​

A session names one trainer, optionally. The session detail page and the session list show that trainer, resolving an internal trainer's name from their employee record.

Trainers are found under Training → Trainers, as a list or as cards, with filtering and grouping.

How Visibility Is Decided ​

  1. The reporting line. A reporting manager can browse the trainer list and see who delivers what, without holding a training permission.
  2. Permissions. Adding, editing, and deleting a trainer each need their own permission, and being a manager grants none of them.
  3. Company. A trainer belongs to the company selected when they were added.

Good to Know ​

  • An internal trainer's details are read, never copied. Change the employee's phone number on their profile and every session showing them as trainer shows the new one.
  • An internal trainer must be linked to an employee; an external trainer must have a name. The form enforces whichever applies.
  • The same person can appear once. There's no need for a separate trainer entry per program — one trainer record covers everything they deliver.
  • A trainer used by a session can't be deleted while that session exists.
