Resignation Requests ​

This guide covers the optional self-service flow that lets an employee formally give notice themselves.

Purpose ​

Not every exit starts with HR — often it's the employee who decides to leave. Resignation Requests answer: "How does an employee formally hand in their notice, and how does that turn into a managed exit?"

This feature is optional — a company can turn self-service resignation on or off. When it's off, all exits are initiated by HR directly through the Exit Process.

Submitting a Resignation ​

When enabled, every employee has a "Resignation" option on their own profile. Submitting one records:

  • A title and description — the employee's own note about their resignation.
  • The date they plan to leave.

The moment it's submitted, the employee's reporting manager is notified — the same organizational reporting line used across the rest of the system, not an explicitly assigned offboarding manager.

Reviewing a Resignation ​

HR reviews submitted resignation requests and either approves or rejects them. Approving is what actually starts the formal exit:

  • HR chooses which exit process the employee should be placed on.
  • HR confirms the notice period — either set manually, or, if Payroll is in use, defaulted from the notice period on the employee's contract.
  • The employee is placed onto the exit process's first stage, and their Exit Process tracking begins from there.

Rejecting a request simply closes it out — no exit process is started.

How Visibility Is Decided ​

  1. Being the employee in question. Anyone can submit and see their own resignation request.
  2. Permissions. Reviewing, approving, or rejecting requests requires the specific permission — this is an HR function, not something a reporting manager gets automatically just for being notified.
  3. Company. Requests belong to the company the employee works in.

Customization Options ​

  • Whether this feature is available at all is a single company-wide setting.

Good to Know ​

  • Submitting a resignation doesn't start the exit process by itself. It's a request; nothing moves until HR reviews and approves it, at which point HR also decides which exit process and notice period apply.
  • The reporting manager is notified, not put in charge. Notification on submission uses the actual org chart; acting on the request afterward still requires the review permission, whether or not the reviewer happens to be that employee's manager.
  • If self-service resignation is turned off, HR can still start any employee's exit directly from Exit Process — this feature only affects who can initiate it, not whether offboarding itself is available.
